About This Policy
Color Outside The Lines Counseling is a private therapy practice based in Kent, Ohio, offering therapy in person in Kent and virtually across Ohio. This policy explains what happens to information when you visit coloroutsidethelinescounseling.com or contact the practice through it.
It covers the website. It does not describe how information you share in therapy is handled — that is a separate matter, described in the section on therapy records below.
What This Website Collects
Less than most. This site is a set of static pages: it has no contact form, no login, no account, and no database. Nothing you type is stored on it, because there is nowhere on it to type anything.
Like nearly every website, it is served by a web hosting provider that keeps standard server logs — the kind of technical record that includes an IP address, browser type, the pages requested and the time of the request. Those logs are used to keep the site running and secure. The site itself does not read them, and they are not used to build a profile of you.
What You Choose to Send
Every way of contacting this practice from the site is a link out of it, and both of them are under your control.
The email links open your own email application with a message started for you, addressed to coloroutsidethelinescounseling@gmail.com. Nothing is sent until you send it.
The consultation and booking buttons open the practice's online client portal at coloroutsidethelinescounseling.clientsecure.me, which is operated by SimplePractice, LLC. Anything you enter there — your name, contact details, insurance or payment information, and any intake responses — is stored in SimplePractice's systems, not on this website, and is protected by SimplePractice's own privacy and security practices.
Beyond that, the information the practice holds about you is whatever you choose to tell it.
How Information Is Used
To reply to you, to answer your question, to schedule a consultation or appointment, and to keep the practice's own administrative records. That is all. Information you send is not used for advertising, not sold, and not shared for anyone else's marketing.
Cookies, Analytics and Tracking
This website does not set cookies, and there are no analytics, advertising pixels, or third-party trackers installed on it. There is nothing here counting your visit or following you afterwards.
Two third parties are involved in ordinary use of the site, and they will see the technical details any web request carries, including your IP address: Google Fonts, which supplies the site's typefaces, and SimplePractice, which receives your information only if you choose to open the booking portal. Their own privacy policies govern what they do. If analytics are ever added to this site, this section will say so and will be updated before that happens.
Email Is Not a Confidential Channel
Please do not send clinical or otherwise sensitive information by email. Ordinary email is not encrypted end-to-end, it can be read in transit, and it sits in inboxes that are outside the practice's control.
Use email for practical things — asking about availability, confirming a time, or sending your name and a phone number. For anything you would not want read by someone else, the client portal is the appropriate route, or ask for a phone call. If you are a current client and need to reach the practice about something urgent, follow the instructions in the practice's own documentation rather than using the website contact link.
Therapy Records, HIPAA, and Your Notice of Privacy Practices
If you become a client, the information you share in sessions and the records the practice keeps about your care are protected health information. They are governed by federal HIPAA rules, Ohio law, and the professional standards that apply to a licensed counselor — not by this website policy, and not by anything on this page.
Your rights in relation to those records — what you can see, what can be corrected, how information may be shared and in what narrow circumstances — are set out in the Notice of Privacy Practices you receive before your first appointment. That notice, not this page, is the document that governs your care.
The distinction is worth stating plainly, because the two documents are easy to confuse: this page is about a website, and that notice is about clinical records. Where they appear to differ, the notice applies.
Children and Teenagers
This website is written for adults, and for teenagers looking for support. It is not directed to children under thirteen, and the practice does not knowingly collect information from them through it.
Therapy is offered to teen clients, and how caregiver involvement and privacy work in those sessions is explained to the young person and their caregiver before therapy begins.
Sharing and Selling Information
Information about you is not sold. It is not shared with advertisers or data brokers, and it is not traded.
It may be shared only in the limited circumstances that apply to any counseling practice: with your written permission, at your request, or when the law requires or permits it — for example where there is a serious safety concern or a legal obligation. Those circumstances are described in full in the Notice of Privacy Practices.
How Long Information Is Kept
Enquiries that do not become appointments are kept only as long as needed to answer them and to keep an ordinary administrative record, and are then deleted.
Clinical records are kept for the period required by Ohio law and by the practice's professional obligations, which is longer than most people expect. The Notice of Privacy Practices sets out the details.
Your Choices
You can ask what information the practice holds about you, ask for it to be corrected, and, where the law allows, ask for it to be deleted. For anything to do with therapy records, that request is handled under HIPAA rather than under this policy.

Emergencies
This website is not monitored and cannot be used to reach anyone in an emergency. If you are experiencing a psychological or physical emergency or a safety concern, call 911 or go to your nearest emergency room.

Changes to This Policy
This policy may be updated if the site changes — for example if analytics were ever added, or a contact form. When it changes, the date at the top of this page changes with it, and the current version is always the one published here.
